The open source PSA landscape is narrower than it looks

Search for an open source PSA tool and the results skew MSP: ITFlow (GPL-licensed, built around tickets, assets, and recurring IT contracts) and Alga PSA (a newer MSP platform from Nine Minds). Both are genuinely open source and genuinely good, if you run a managed services business with helpdesk workflows at its center.

Professional services firms, consultancies, dev shops, design studios, engineering practices, work differently: project engagements with budgets, staffing plans, and deliverables. For them the MSP suites carry the wrong primitives. The frequently suggested alternative, customising ERPNext into a PSA, works but is an implementation project of its own.

Worklenz fills the specific gap: an AGPL-3.0 platform whose primitives are engagements, consultants, hours, budgets, and invoices.

What the PSA loop looks like in Worklenz

An engagement starts as a project, usually from a template carrying your methodology's phases. The resource scheduler books consultants onto it based on real availability. As work proceeds, timers and timesheets capture hours, marked billable or not, and the finance view compares accumulating cost against the engagement budget. Approved time feeds invoices generated inside the platform. Throughout, the client watches progress in their portal instead of requesting status decks.

Every step reads and writes the same PostgreSQL database, which is the entire point of PSA: one version of the truth from staffing call to paid invoice.

Self-hosted, cloud, or both

Self-hosting is a Docker deployment: clone github.com/Worklenz/worklenz, run ./quick-setup.sh, and the stack comes up on your infrastructure. Community is free with unlimited users; Business ($99/month flat) and Enterprise ($499/month flat) add SSO, custom branding, backups, and support without per-user fees, which matters at consultancy headcounts.

Worklenz Cloud runs the same codebase with a free plan (unlimited users, 3 active projects) and flat-rate paid tiers from $69/month. Firms with client data restrictions often prototype on cloud and move to self-hosted before onboarding the sensitive account.

Is Worklenz a PSA tool or a project management tool?

Both, by design. PSA is project management plus the services business around it: resourcing, utilization, budgets, and billing. Worklenz ships that full loop, which is what separates it from open source task trackers.

How does it compare to ITFlow or Alga PSA?

ITFlow and Alga are built for MSPs: ticketing, asset management, recurring IT contracts. Worklenz is built for project-based services: engagements with budgets, staffed by consultants, delivered in phases. Pick by the shape of your revenue.

Can it replace a commercial PSA like BigTime or Kantata?

For the delivery core (projects, resourcing, time, budgets, invoicing, client visibility), yes, and at a fraction of the cost. Enterprise PSA platforms still go deeper on revenue forecasting and CRM-integrated quoting; Worklenz has CRM on its roadmap and pairs with your existing CRM today.

What does the open source license permit?

AGPL-3.0 lets you run, inspect, modify, and self-host Worklenz freely. Internal modifications stay private; only offering a modified version as a public service triggers the requirement to publish changes.

Is there really no per-user cost when self-hosting?

Correct. Community is free at any headcount. The paid self-hosted plans (Business $99/month, Enterprise $499/month) are flat rates for support, SSO, branding, and backup tooling, not per-seat licenses.

How fast can a firm get running?

Cloud: minutes, on the free plan. Self-hosted: typically the same day, via the Docker quick-setup script. Importing your engagement structure as templates is usually the longest step.
